The East Troy Village Board has a message for anyone coming before the elected body at one of its meetings: Supply us with your documents beforehand, or we will not act on your request.
After reportedly encountering the frustration of receiving documents at a meeting and attempting to make decisions the same night, the board has coalesced around a new policy they hope will encourage preparedness.
The clampdown was discussed Feb. 6 at the board’s most recent meeting. Trustee Forty Renucci placed the item on the board’s agenda.
“I think it’s wrong,” Renucci said of persons coming before the board on the night of a meeting and passing out documents as decisions hang in the balance.
Speaking to his philosophy of how a proper meeting should be run, Renucci said, “They should come prepared, we (the board) should come prepared. I don’t think this is asking too much.”
Although some of the specifics still need to be fleshed out, presenters of various agenda items will be required to submit their documents to the village by the time the meeting packet is assembled.
The board declined to set a firm submission deadline for packet documentation, leaving that policy decision in the hands of Village Administrator Eileen Suhm and other municipal staffers.
The call for improving the process is extended to everyone, including department heads who might be speaking on a particular issue and applicants coming before the board for a development or similar matter.
While having a complete packet will benefit the Village Board, officials said the process is also designed to help the public viewing the same packet documentation posted on East Troy’s municipal website.
